Beecher PTO (Virtual meeting) minutes (high level); Thursday, April 14, 2022

TREASURY UPDATE (text from Amy Brayman)

  • Available balance of $287.41

FUNDRAISERS/UPCOMING INITIATIVES/TEACHER REQUESTS:

  • Teachers’ Appreciation Week (May 2 – 6, 2022) – Tawana Grant
    • Discussed having a sandwich lunch for 60 teachers/paras/staff on Friday, May 6th Beck suggested that a catered lunch from Paneras/Big Y/Stop & Shop would be fine (and less setup).
  • Brayman sent information regarding a complete virtual fundraiser from Meadow Farms. School would receive 40% profit from all sales.  Group thought this was a good idea.

ADMINISTRATION REPORT (per Mrs. Beck via conversation with Mrs. Mooring):

  • Students are still testing this week (grades 3-8).
  • Social distance restrictions are still in place. Can come into the school by appointment only and must wear a mask.
  • ESSR funds have been released and Beecher has access to the funds. Beecher leadership would like to change the image for the school, especially for the middle school (grades 6-8 grades).  Beecher leadership is looking for flexible seating options and increase the staffing options and course offerings (maybe partner with virtual class options to offer more languages and other skill sets.  This would be for next school year.
  • Focused on getting the Before/After School program re-established for the Pre-K grades for next year.
  • Girls’ bathroom on 1st level has been re-fixed.
  • Water fountains/bottle fillers have been installed (since 04/14/2022).
  • Dates of interest for the remaining school year:
    • 4/28/2022 -> Bowling for selected kids to keep them motivated.
    • 5/31/2022 ->Holiday Hill for grades 5-8
    • 5/31/2022 -> Field Day at school grades pre-K – 7.
    • 5/31/2022 -> Lighthouse Park for grade 4th
    • 6/17/2022 -> tentative 8th grade dance. Will ask kids to vote on location (cheaper for school/parents to keep it local since Beecher cannot partner with another school like in years past due to COVID).
    • 6/21/2022 -> 8th grade graduation at school gym; around 5pm; no reception; Grab & Go selection; Mrs. Beck will ask district if there is a guest number limitation due to COVID.
    • Beecher has no immediate needs.
    • Leadership is focused:
      • Ideas to stop cell phone use during the school day. Apparently, kids are sneaking to bathroom to use their cell phones.
      • Relaxing the uniform restriction for middle school grades; of course uniforms would be required if they go on a school trip. Apparently the uniform rule is being enforced in the younger grades but not so tightly by the middle school teachers (hats and hoodies as well).  Would like some input from parents.  Please forward any thoughts idea to Robin Mooring or directly to Ms. Beck

Present: Amy Brayman, Kathy Beck, Robin Mooring, Pat Cramer, Rebecca Cramer, Amanda Lupi, Stephen Jefferson, Leslie Brown, Tawana Grant, Mark Sweeting and Orlando Yarborough

ADMINISTRATION REPORT (via Principal Kathy Beck):

  • NHBOE meeting this past week, confirmed that plans are moving forward for all schools to move to the Hybrid model beginning on Monday, November 9, 2020.
  • Beecher is working on preparing the building; there have been three (3) inspections with the Board of Health, NHBOE member and a 3rd party entity.
  • Beecher has not received an official opening certificate but verbally everything appears okay:
    • Halls have directional markings on the floor
    • Signage is up (wearing masks, directional and washing hands).
    • Number of bathroom stalls are reduced.
  • “Remote Only Learning Opt in Form” is due by October 19, 2020 (sent out via email or text via the NHBOE).
    • This form will notify the Beecher Administration on how many students will continue as Remote Learners after November 9, 2020.
  • Each Beecher classroom has a max capacity number of occupancy based on square footage (one room may have a max capacity of 2 people, another room may have a max capacity of 9 people, etc.)
  • Grades K3 & K4 will not be on Hybrid model -> They will be in school 4 days a week.
  • Grades K – 8 Hybrid schedules will be Mondays/Tuesdays or Thursdays/Fridays. The schedule will be broken up by last name

    • One warning for wearing masks; if student is warned a second time, they will be remanded to Remote Learning.
  • Parent stated that she is currently working from home but may plan for her child to participate in the Hybrid Model. However, if another parent does not have the option to work from home and needs their child to participate in the Hybrid Model, she would have her child participate in Remote Learning to free up a slot (due to max capacity).  Maybe other parents will do the same if asked.  Administration thought this was a great suggestion.
  • Current classroom schedule will be the same for Hybrid model (no change).
  • All regular teacher vacancies are all filled

PTO Meeting, September 12, 2019 @ 5:15pm

Present: Robin Mooring, Stephanie Paris-Cooper, Devon & Diane Gonzalez, Amy Brayman, Tawana Grant, Emily Lefanda, Larcina Wynn, Monica Clark, Giselle Cardona, Michele Moore, Shannon Simmons

Minutes: All PTO minutes are listed at http://lwbeecherschool.digitalpro.com/

Treasurer’s Report : Current available funds: $1800.38.  PTO paid for a portion of the lunch provided for teachers at the opening staff meeting.  There are currently teacher requests however, new teachers were told that they may submit a request to PTO to provide funds to purchase classroom supplies since they were not able to place an order the end of last year.  Ms. Wynn suggested that teachers create a list of supplies to have available during Open House on Tuesday, 9/17.

PTO typically organizes a fundraiser at the beginning of year.  The funds are used to purchase supplies, assist with the cost of busing for field trips, and other events such as Trunk or Treat/Math Night, Teacher Appreciation Week and to help families in need.  Teachers must submit a request outlining what the funds will be used for and the amount being requested.  Typically, requests should be submitted at least a month prior to the date needed so it can be presented at the PTO meeting.  If there is a at the monthly meeting, participants will vote on whether or not to approve the funding.  Otherwise, an email or text will be send out to the board to vote to approve the request.  Every effort is made to provide at least partial funding if PTO is unable to provide the entire amount.  Scholastic dollars earned from the book fairs can be used to purchase books requested by the teachers.

Initiatives/Upcoming Events

  • Stop & Shop A+ program – register your current Stop and Shop card to earn points; these points are converted to funds that are sent to the school at the end of year.
  • Shop Rite – register your current Shop Rite card. Purchases earn points that can be used by the school to purchase supplies for school.  Last year, supplies such as paper, poster boards, etc. were purchased for teacher use.
  • Shoparoo – scan receipts for any purchase from October – September. By October, a check comes to your school.  All families can sign up but the families of this year’s 7th grade families will be encouraged to sign up – all monies earned can be used to defray the cost of special events/purchases during the their 8th grade year. (Formal dance, day trip, Holiday Hill trip, caps and gowns, trophies, flowers for graduation, etc.).
  • Box Tops – flyer coming out. The program will be going 100% digital now.  Shannon is asking everyone to submit paper Box Tops by 9/24.  It was suggested that PTO have a table available at Open House to help families register on the Box Tops website.

Need to start working on fundraising for this year’s 8th graders; possibly one fundraiser a month.  A t-shirt fundraiser for PTO was one suggestion.

Trunk or Treat/Math Night – math games/materials for all grade levels.  Usually runs from 5:30-7:00.  Each table is run by teachers; there are different math games and make and takes.  Last two years added PTO added Trunk or Treat.  Participants can wear appropriate costumes.  Families volunteer to decorate a table (following a theme) and provide candy and/or other treats.  Children must participate in the math activities before trick or treating.   other side of room decorated and tables would have candy.  Suggested date is Friday, 10/25 (to be presented at SPMT meeting on 9/16).  A suggestion was made that there be an overall theme for the evening and that prizes will be given out to encourage buy-in.

Winter Wonderland – Grades K-6 sing seasonal songs learned in music class and the band performs.  All performers dress in black and white.  PTO would auction off gift baskets.  More information will be provided after it is presented at SPMT.

Mrs. Brayman will check on whether or not Scholastic dollars can be used to purchase other items (in addition to books) for the gift baskets.

Teacher Appreciation Week – May 4-8, 2020 – More info to follow.

  2. NHPS Advocates Working Group met on 1/10/18. Mrs. Mooring attended the meeting. Alderman Darryl Brackeen learned that there are no parameters for someone to be appointed to the Board of Education.  The group decided to write a policy that will be presented to the Board of Aldermen so they will have a document to work with rather than writing the policy from scratch.  Some of the parameters discussed included having some background in education; affiliation with NHPS (parent, graduate, retiree, etc.); no conflict of interest with other advocacy groups.  They would like to start working on this policy as soon as possible since BOA committees/meeting dates have not been set yet.  Information can be located on the group’s website https://sites.google.com/view/nhpswatchdogs
  3. Mixed Bags Fundraiser – everyone was very pleased with the company (especially customer service). PTO will offer this fundraiser again next year.

Anyone interested in attending the meetings can contact Mrs. Mooring for additional information.

Mrs. Mooring reported that Mrs. Beck had made a suggestion to hold Winter Wonderland during the day (either Dec. 7th or Dec. 14th) so that more children could attend.  After a discussion, everyone felt that it should continue to be held in the evening due to parent work schedules, seating arrangements, parking issues, etc.

Winter Wonderland will be held on Thursday, Dec. 14th in the evening.  Once again, we will be raffling off baskets.  An email will be sent to all teachers requesting the donation of a themed basket.  In addition, Mixed Bag demo products donated by the company and Scholastic products will be offered as raffle prizes.

We need to think about what will draw individuals to the website.  One suggestion was to hold a raffle for individuals who leave a comment on the page.

We also discussed sending home contact cards with the PTO website address for easy access.

Beecher App

Upcoming Events/Initiatives/Fundraisers

Mixed Bag Fundraiser

Robin Mooring provided information about the Mixed Bag fundraiser.  It is scheduled to run from September 18 – October 6.  The company provided sample items which will be displayed at the PTO table during Open House on September 19th.    These items will be raffled off (raffle tickets will be available for purchase).

Pamphlets will be sent home with students in the lower grades (based on past fundraisers, families with children in the lower grades are more likely to actively participate in fundraising initiatives).   Students in the upper grades will be provided with flyers with the order form (customers may browse the catalog online and place a paper order with students).

The school will receive 50% of the funds raised by October 6th on all paper orders that are paid by check.    These orders will be sent to the school.

Orders can also be placed on line.  The school will receive 40% of the funds raised by December 31st on all online orders.  These items will be sent to the customer’s home address.

There is a teacher initiative.  Classroom teachers with 50% student participation will receive a Mixed Bag gift certificate.

An email will be sent out with information about the fundraiser so it can be forwarded to family and friends.

Tawana Grant will be the contact person for this program.

Scholastic Book Fair

Amy Brayman reported that the book fair will be held in the library from September 18-September 29th.  Anthony Suggs has agreed to work the book fair 10:30-2:30 daily.  The book fair will be open during Open House.   Shannon and Theresa volunteered to run the book fair/PTO table during Open House.

Amy participated in phone conference trainings this summer to learn about additional options for the book fair.  One program is All for Books which guarantees that each child goes home with books.  To raise money for the program, she suggested a Penny War (students bring in pennies one day, nickels the next day, etc.).  The class who raises the most money will receive Scholastic dollars to spend at the fair.

Another suggestion to raise funds for the program is holding a dress down or dress up like your favorite storybook character day for $1.00.

Amy received a pre-fair pack of books which will be raffled off.  Raffle tickets will be sold at the PTO table during Open House.

Box Tops/Stop & Shop/Shoprite/Shop-a-roo

Flyers are available to send home for these programs.    Rob Morrison is looking into the Shoprite program (Beecher has not participated in this program) and Stop & Shop (Beecher is currently not active in the program).  Shannon McFadden will provide more information about Shop-a-roo.

Mini Field Day/Walkathon

Karen Carazo reported on an upcoming fundraiser suggested by Mr. Sienna (PE Teacher).  He would like to hold a Mini Field Day/Walkathon in the beginning of October.  Students will collect pledges for walking to Edgewood Park.  There will be different activities for the students to participate in.  Classes will be bussed back to Beecher in stages in time for their lunch waves.    Mr. Sienna will present at the SPMT meeting on Monday.

Heavenly Hats Fundraiser

Ms. Carazo also reported on the Heavenly Hat fundraiser which raises money for pediatric cancer research.  Participants would pay $1 to wear their favorite hat.  Heavenly Hats day is on October 6th this year although Beecher’s Hat Day may not be held on this date.    She said it is important for the students to learn to help others as well as themselves.

PTO Website Update

Rob Morrison reported that the link to the PTO website is now working (http://lwbeecherschool.digitalpto.com/).  Participants shared ideas for content that should be included on the website –

  • Welcome statement
  • Mission statement
  • Calendar of school events/PTO meeting dates/PTO events
  • List of Board Members
  • Fundraiser Information
  • PTO Email
  • Newsletter (Tawana Grant will create newsletter)
  • Upload copies of notices that are sent home
  • Volunteer opportunities
  • Description of available after school programs at Beecher
  • Links to city resources (Parks & Rec; public libraries, etc.) to educate parents about the programs available on weekends and school vacations

Beecher App

Mrs. Beck is looking into creating an app to share important information about Beecher.  There is currently a Twitter account.  There is no Beecher Facebook page because of media release issues with student pictures.

Teacher Requests

Amy reported that she has not received any teacher requests as of yet.  If an urgent request is submitted by a teacher, only the board members vote on whether or not to fund the teacher’s request rather than waiting to the next full PTO meeting.  Non-urgent requests are presented to all PTO members during the next full meeting.

SPMT

The first meeting will be held on Monday, September 18th at 4:00 in Room 137.  Karen Carazo stressed the importance of having parents attend SPMT meetings.

Administration (Karen Carazo)

Mrs. Carazo reported that September 19th is actually a combined Orientation/Open House from 5-7 since the orientation was cancelled in August.  District calendars will be available (one per family) at tables set up near the office and cafeteria for parents to pick up as they leave.

Mrs. Beck has met with Chief Reddish (Head of School Security) and our director (Dr. Tracey) to discuss bringing Walter Gibbs back to Beecher as our security officer.  It was promised that he would return this year but that did not occur.  Karen stressed that Mr. Williams has been doing a great job, but Mr. Gibbs is familiar with our students and families.

Mrs. Beck is actively seeking candidates for the following positions –

  • World Language Teacher (interested in a French or Spanish teacher since students would be able to continue these languages in high school).  There is a shortage of candidates in this area.
  • PT Art (Mrs. Velezis is currently covering all of the art classes).
  • Literacy Coach (The Literacy Department is providing us with coaches to support different grade levels (K-2, 3-5, 6-8) until this position is filled.

While the language teacher position is open, students have an intervention block.  This is additional time for teachers to provide enrichment activities, complete magnet projects, conduct assessments, etc.  For example, the 8th graders are preparing to take the PSAT during this time using Khan Academy.

Beecher has a partnership with Comer and Kellogg Foundation.  They will be providing two social work interns who will be assisting Ms. Adjepong this year.

School Improvement Plan (SIP) has been revised.

PreK is going through NAEYC Accreditation.  They are currently completing classroom portfolios based on ten standards that must be addressed.  The visit from NAEYC will occur between Oct. 9 – Oct. 29.  The school will be given 24 hours notice before the visit occurs.  Re-evaluation occurs every 3 years for programs that pass the accreditation process.

Comments/Other

Frequency of PTO Meetings

Although the full PTO met every other month last year, Robin would like meetings to be held every month.  She is looking into setting up a conference call service for parents who would like to participate in PTO but are unable to attend meetings in person.  A phone number and special code would be sent out to these individuals to call in.  It was agreed that we would meet the 2nd Thursday of each month (as not to interfere with the City Wide PTO meetings).

Robin also stressed the importance of having a Beecher PTO member attend the City Wide PTO meetings and share the information at our PTO meeting the following week.

Additional Comments/Concerns

It is important to market Powerschool to parents.  More information should be provided to parents of students in grades 5-8 about how to access it.
